Executive Assistant
Type: Part-Time Contract | Location: Vancouver, British Columbia | Range: $30,000 - $45,000
The role
Executive Assistant supporting a CEO directly across calendar and schedule management, investor meeting and document preparation, travel and logistics, expense reporting, spreadsheet and document support, digital organization, research, and general executive support.
The role suits someone who thrives on shifting priorities, last-minute pivots, and high expectations, and who is available for urgent requests outside standard business hours when required. Residence on the North Shore of Vancouver, West Vancouver or North Vancouver, is a firm requirement.
What you will own
- Own and manage the CEO's calendar, coordinating meetings with investors, board members, advisors, legal counsel, and service providers
- Navigate shifting priorities and last-minute changes without losing composure
- Proactively flag scheduling conflicts and propose solutions before they become problems
- Prepare, format, print, and assemble investor presentation packages and materials in advance of all meetings
- Handle document revisions, including urgent late-night and early-morning edits, and ensure final versions are polished and print-ready
- Coordinate pickup and delivery of printed materials from service providers such as local print shops and Staples
- Maintain version control and ensure the CEO always has the most current documents
- Book flights, hotels, ground transportation, and travel services with meticulous attention to preferences and schedules
- Prepare detailed travel itineraries and anticipate logistical needs in advance
- Handle travel changes and disruptions calmly and efficiently
- Prepare accurate and organized expense reports on a regular cadence
- Track receipts, categorize expenses, and submit for reimbursement in a timely manner
- Build and maintain spreadsheets for tracking company data, contacts, or investor information as required
- Format and edit Word documents, PowerPoint presentations, and PDF materials to a polished standard
- Design and implement an intuitive folder and file structure on the CEO's computer, and maintain it as new documents, reports, and correspondence are added
- Conduct thorough research on companies, individuals, market developments, and investment opportunities
- Prepare concise, well-organized research briefs and summaries for the CEO's use
- Book appointments with service providers, professionals, and business contacts
- Handle a variety of ad hoc logistics and errands that free the CEO's time for high-value activities
What we require
- Located on the North Shore of Vancouver, West Vancouver or North Vancouver. This is a firm requirement
- Minimum 3 to 5 years of experience supporting a senior executive (VP, CEO, President, or equivalent)
- Meticulous attention to detail. You catch errors before anyone else does
- Absolute discretion and professionalism. You understand that what you hear and see stays private
- Strong proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, Outlook
- Excellent written and verbal communication skills
- Highly responsive, able to act quickly on urgent requests, including outside standard business hours when required
- Self-starter who anticipates needs and takes initiative without being asked
- Comfortable with ambiguity and able to manage competing priorities calmly
What will set you apart
- Experience supporting executives in public markets, investment, mining, or financial services
- Familiarity with TSX Venture Exchange-listed companies or the junior resource sector
- Experience coordinating investor-facing events, print production, or presentation logistics
- Strong digital organization skills, able to design and maintain a clean file management system
- Available via mobile or text for time-sensitive matters
