Executive Assistant / Office Manager - Data Center Program (Dallas)
Level: Administrative / Business Support | Team: Program | Type: Full-time employee | Location: Dallas, TX - primarily in-office | Central Time Zone | Target start: as soon as possible | Range: USD $95,000 - $150,000
The Role
We are seeking a highly capable Executive Assistant to directly support the President of a rapidly growing AI infrastructure and data center developer as the company establishes and builds out its new Dallas office.
This is much more than a traditional administrative role. The Executive Assistant will serve as a true force multiplier to the President: protecting executive capacity, bringing organization to a fast-moving environment, and helping build the operational foundation of the Dallas office.
The company is in significant growth mode, so the right person will be comfortable stepping into an environment where not everything is already built. You will take ownership of the day-to-day mechanics surrounding the President while also helping establish processes, coordinate the new office, and take on additional responsibilities as the organization grows.
This is an excellent opportunity for someone who enjoys being the person behind the scenes who keeps things moving and wants to grow alongside an early-stage organization.
What You Will Own
- Direct executive support for the President, including proactive calendar management, prioritization, meeting coordination and follow-through.
- Help establish and operationalize the company's new Dallas office.
- Coordinate office-related vendors, logistics, processes and day-to-day needs as the location grows.
- Protect the President's time by identifying what requires executive attention and what can be handled independently.
- Expense management and reporting.
- Maintain team rosters, including headcount, start dates, locations and contact information.
- Own a rotating portfolio of trackers, internal projects and operational priorities.
- Coordinate meetings across internal leadership, external partners, contractors and other stakeholders.
- Anticipate needs and proactively address issues before they reach the President.
- As the team grows, potentially assist with recruiting coordination, interview scheduling and first-pass resume review against established criteria.
What We Require
- Significant experience supporting a President, CEO or other senior executive in a fast-paced environment.
- Exceptional organizational skills and the ability to manage competing priorities without constant direction.
- Strong judgment and discretion, particularly around what should be escalated versus handled independently.
- A genuinely proactive working style: you see what needs to happen and take ownership of it.
- Excellent written and verbal communication.
- Absolute reliability and strong follow-through.
- Comfort operating in a startup or high-growth environment where priorities can shift quickly.
- Ability to work closely with the President in the Dallas office.
What Will Set You Apart
- Experience supporting a President, CEO, Founder or senior executive during a period of rapid company growth.
- Experience helping launch or build out a new corporate office.
- Background in data centers, construction, engineering, energy, infrastructure or real estate development.
- Experience in an early-stage or entrepreneurial company where you helped create processes rather than simply inherit them.
- Recruiting coordination or talent acquisition exposure.
- Strong project management instincts and the ability to take loosely defined needs and turn them into organized, completed work.
The Environment
This is a fast-paced, entrepreneurial organization building large-scale AI and data center infrastructure. The Dallas office is being built from the ground up, which creates an opportunity for this person to have meaningful influence over how the office operates and how the President's function scales.
The ideal person is resourceful, polished, highly organized and comfortable being the President's right hand while also rolling up their sleeves to help build something new.
